How to review, approve, and adjust the AI's filing suggestions.

When Do You Need to Review?

When a document has the "Awaiting Review" status, it means the AI has analyzed it and prepared a suggestion – but it needs your approval before filing. This happens when:

  • Auto-filing is turned off (the default)

  • The AI's confidence is too low to auto-file

Documents awaiting review appear on your dashboard, so you will always know when something needs your attention.

Opening the Filing Dialog

Click on “edit” at any document in the “Pending documents” section to open the filing dialog. This is where you see the AI's suggestion and decide what to do.

The filing dialog shows you:

  • Suggested file name – The clean, descriptive name the AI generated based on the document's content.

  • Suggested folder – The AI's primary recommendation, along with a brief explanation of why it chose that location.

  • Alternative folders – 2–3 other folders that could also be a good fit, in case the primary suggestion is not right.

Your Options

Accept the Suggestion

If the AI's suggestion looks good, click Accept to file the document as-is. This is the most common action – one click and you are done. The file is renamed and moved to the suggested folder in your Google Drive.

Edit the Filename

If the suggested name is not quite right, you can edit it before accepting. Click on the filename field, make your changes, and then accept. This is useful when the AI got the gist right but you want to tweak the wording or add details.

Choose a Different Folder

If the primary folder suggestion is not the best fit, you have two options:

  • Pick from alternatives – Select one of the 2-3 alternative folders the AI suggested.

  • Browse your folder structure – Open the full folder browser to navigate your Google Drive and pick any folder.

Create a New Folder

If none of your existing folders are right for this document, you can create a new folder on the spot. This is helpful when you receive a new type of document that does not fit your current structure.

Filing Multiple Documents at Once

If you have several documents awaiting review and the suggestions look good across the board, you do not need to approve them one by one. Use the Accept All button on your dashboard to file all awaiting documents at once with their suggested names and folders.

This is a time-saver when you have uploaded a batch of documents and the AI's suggestions are on point.

After You Accept

Once you accept a suggestion (individually or via Accept All), the following happens:

  1. The file is renamed in your Google Drive to the approved filename.

  2. The file is moved to the approved folder in your Google Drive.

  3. The document's status changes to Filed.

You can still edit the document after filing if you change your mind.
